# Online booking instead of arranging times by email

Time gets lost in manual scheduling not during the appointment itself but in the emails and calls before it, usually three or four messages back and forth before a time turns up that suits both sides.

On the first screen of the booking flow, a client should see straight away which dates and times are actually free, without a prior call or an email asking when suits you, since that uncertainty is exactly what pushes booking off until later.

No more than three or four steps should stand between a visitor and confirmation, choosing the service, choosing a time, entering contact details, and every extra step beyond that noticeably raises how many people close the tab before finishing.

A booking genuinely needs only a name, a phone number or email and the chosen service, extra fields such as a detailed description of the request should stay optional from the start rather than required.

Confirmation should arrive right after the form is submitted, and a reminder a day or a few hours before the appointment noticeably cuts how many people simply forget to show up without cancelling.

Rescheduling and cancelling should work directly through a link in the confirmation email, with no call to reception and no new correspondence, since exactly that need to write to someone again is what most often turns a reschedule into a no-show.

Syncing with the team calendar and protecting against double booking the same slot closes the most common source of conflict in manual scheduling, when two customers get promised the same time by different staff members.

Customer data left during booking is kept according to the company's own rules and the agreement with the booking service that technically processes that data, the same as any other provider with access to the site's data.

If everything currently runs by phone, it is worth starting with one service and one calendar, watching how the system works in practice for a few weeks, and only then connecting further services and staff.
