# Our mailboxes are with the same provider as the website. Should we separate them?

Everything in one package for eight years. Now it is to be Microsoft 365, and the provider says the package would have to be cancelled, taking the website with it.

Everything has been in one package here for eight years: domain, website and six mailboxes with the same provider.

Now we are supposed to move to Microsoft 365, because our accountant and two customers use it, and suddenly everyone is talking about MX records. The provider of our website package says we would have to cancel the package, which would take the website with it.

We have no idea what actually depends on what.

Website and email are not technically connected. The only thing joining them is your domain, and for each of them it can point in a different direction.

In your domain's DNS there is a record for the website pointing at a web server, and an MX record for mail, pointing at a mail server. The two are independent. So your website can stay where it is while the mailboxes move to Microsoft. What your provider is telling you describes his product rather than the technology: if mail and web are a single package with him, he may not be able to cancel the mail half on its own. That is a contractual question, and it should be put to him in those words.

Check first who is actually allowed to change your domain's DNS records. Usually that is whoever holds the domain, and without that access the migration turns into a slog.

Microsoft 365 requires the MX record. The other records, for automatic account setup in Outlook and for sender verification, are formally optional but strongly recommended, and without them you buy yourself delivery problems. Put them in at the same time and you will not be investigating spam folders in a month. Expect a transitional period in which [messages can arrive at both servers](https://www.hosteurope.de/blog/e-mail-postfach-umziehen/). During it, somebody checks both mailboxes daily, or an order sits for two weeks in one nobody opens any more. And the old mail does not travel with the MX record. Eight years of correspondence is either migrated into the new mailbox or backed up locally before you end the old package.
