# What has to stay with us if we change supplier?

Third year of working together, no complaints, but nobody knows what is in the company's name. We have not said anything to anyone yet.

We are in our third year with a supplier. We have no real complaints, but we have started thinking about a change, and that made us uneasy.

We realised we do not actually know what we hold. They seem to have bought the domain. They also set up the ad account, and we get in through an invitation from them. We pay for hosting against an invoice they send. The site runs, everything is fine, but if they vanished tomorrow I would not know where to turn.

We have not said anything to anyone yet; we want to understand it ourselves first.

The list is short and worth keeping to hand.

In the company's name go the domain, the hosting, the Google and Meta ad accounts, the Google Business Profile, Search Console, the web analytics and the mail domain. The supplier gets access in all of those places, and the company stays the owner. To that add the site's source files and the database, plus an export of the contacts from the CRM or the newsletter system.

Almost all of it you can check quietly, without asking anybody. The domain holder is listed at DENIC, which is open data, and the supplier will not learn of the query. In Google Ads the account owner is in the settings; in Meta you can see which portfolio the account belongs to. In Search Console the list of verified owners is visible to anybody with access. The host is named on the invoice you are sent. Half an hour gives you the full picture and nobody has noticed a thing. This is something to check at the start of a working relationship. While the relationship is good, changing a domain holder or handing over rights in an ad account takes ten minutes. After a falling-out the same thing becomes an exchange of letters through lawyers.

There is a simple test for the whole matter. If the supplier stopped replying tomorrow, could you get into the ad account yourself and stop the ads? If the answer is no, the access is set up wrongly, and that gets fixed before you need it.

Add the visible half to that list. Photos, texts, the logo as a working file, the fonts with their licence. With photos the copies on the website are reduced versions and will not carry a print job, a trade fair wall or a new site, while the originals sit with the photographer or with the provider. Ask for a copy while nobody is nervous, and ask in the same message what the pictures were licensed for and for how long.

Check whose name the bought items run in as well, the fonts, the stock images, the system the site is built on. A licence held by the provider ends when they do, and that surfaces once the site has already moved. The channels belong on the list too, the company pages on LinkedIn, Facebook and Instagram, an export of the newsletter list, the reviews and photos in the business profile. One email that reads like housekeeping covers all of it, asking for a written overview of what sits where and in whose name.
